What is a word counter?

A word counter is a tool that calculates how many words appear in a piece of text. Most modern word counters also show characters, sentences, paragraphs, reading time and average sentence length, all updating as you write.

Counting rules

What counts as a word?

Most word counters treat a run of letters or numbers as a word. Tools can differ on hyphens, URLs and decimals, which is why the same text can give slightly different totals.

don’t1
Contraction

Counted as one word by almost every tool.

Number

A standalone number counts as one word.

Why counts differ

Why is my word count different in Microsoft Word or Google Docs?

Every tool makes its own decisions about what to count. Small differences are normal and do not mean either count is wrong. These are the seven places they usually come from.

  1. 01Headers and footersOften excluded from the main count.
  2. 02Hyphenated wordsCounted as one word or two.
  3. 03Em dashesSome tools join the words either side.
  4. 04Decimal numbers41.5 may count as one token or two.
  5. 05URLs and emailsKept whole or split at dots and slashes.
  6. 06Text boxesIncluded or excluded depending on settings.
  7. 07FootnotesOptional in Microsoft Word; varies elsewhere.
Microsoft Word

Why is my word count different from Microsoft Word?

Word can include or exclude footnotes, endnotes and text boxes depending on the document and your settings. It can also split punctuation and compound terms slightly differently.

Google Docs

Why is my word count different from Google Docs?

Google Docs has its own counting rules and may treat compound terms, URLs, headers or footnotes differently from another counter.

If an assignment or publisher names Microsoft Word, Google Docs or another platform as the official count, use that platform’s final total.

Words vs characters

Word count vs character count: what is the difference?

Word count measures the number of words. Character count measures letters, numbers, punctuation and, depending on the setting, spaces.

How many pages is a word count?

A common rough estimate is around 500 words per single-spaced page or 250 words per double-spaced page, using a standard 12-point font and normal margins. Actual page count changes with font, spacing, headings, margins, lists and images.

Reading time

How long will this text take to read?

Reading time is an estimate based on the number of words divided by a reading speed in words per minute. The right pace depends on the reader and the material. Technical, academic or unfamiliar content is usually read more slowly than simple general prose.

Words1,200
÷ Reading speed238 wpm
= Reading time≈ 5 min

What is a normal reading speed?

Reading speed varies widely. The counter uses an editable default of 238 words per minute, so you can adjust it to a pace that better reflects your audience or material.

Average 238 wpm5 min
Careful 200 wpm6 min

Example paces. Slower reading means a longer bar.
Speaking time

How long will this take to say out loud?

Speaking time estimates how long a script, speech or presentation will take to deliver. Real delivery is usually slower than silent reading because speakers pause, emphasise points, react to slides and leave time for the audience.

PausesBreathing room between ideas.
EmphasisSlowing down on key points.
SlidesTime to move and point.
AudienceReactions, laughter, questions.
These are why speaking takes longer than reading the same words silently. Adjust the speaking pace in the counter to match your delivery.

Reading speed and speaking speed are not the same.

The same words take far longer to say than to read. Set a reading pace for articles and a speaking pace for speeches, scripts and presentations to get an estimate you can plan with.

Reading speed238wpm default

Silent reading is faster

The reader does not need to pronounce each word or pause for an audience.

Speaking speed130wpm default

Delivery needs space

Presentations and scripts need pauses, emphasis and breathing room.

If timing matters, use the adjustable words-per-minute controls in the counter rather than one universal average.
Sentence and paragraph structure

What does average sentence length tell you?

Average sentence length is the total number of words divided by the number of sentences. It can help describe writing rhythm and complexity, but it is not a writing-quality score.

1–10 words

Short

Direct and punchy. Useful for emphasis.

11–20 words

Moderate

Easy to follow for most readers.

21–30 words

Long

Fine in moderation. Check they stay clear.

31+ words

Very long

Often harder to follow. Consider splitting.

Is there an ideal sentence length?

No single sentence length works for every reader or type of writing. Clear writing usually mixes shorter and longer sentences rather than forcing every sentence into the same range.

How many sentences should a paragraph have?

There is no universal number. A paragraph should be long enough to develop one idea clearly. Online writing often uses shorter paragraphs than academic or technical writing.

Open Text details in the counter to see your own sentence-length distribution and jump to the longest sentence.

  2. 0213Short sentences land a point, while longer ones carry detail and connect ideas.
  3. 0322If every sentence runs the same length, the text starts to feel flat, even when each sentence is correct on its own.
  4. 046Mixing lengths keeps the reader moving.
  5. 0531That said, a sentence that keeps adding clauses, qualifications and asides before it reaches its point can lose the reader halfway through, which is when splitting it in two usually helps.

Unique words and frequency

What are unique words and word frequency?

These measures show how varied your vocabulary is and which words or phrases you lean on most, so you can catch repetition before your reader does.

01

What are unique words?

Unique words count each different word once, even when it appears several times. “Design design tool” contains three words but two unique words.

02

What is word frequency?

Word frequency shows how often individual words appear. It helps you spot accidental repetition, review terminology and check whether one word dominates the draft.

03

What are repeated phrases?

Repeated-phrase analysis finds short combinations of words that appear more than once, revealing wording habits a single-word list misses.

Open Word frequency in the counter to see your most-used words and repeated phrases. Hide common words to focus on the ones that matter.

Readability

What does the reading ease score mean?

Reading ease is an estimate based mainly on sentence length and word complexity. It is a useful rough signal, but it cannot tell whether writing is accurate, logical, interesting or right for a specialist audience.

Higher scoreUsually easierShorter sentences and shorter words.
Lower scoreUsually harderLonger sentences and more complex words.
Readability and SEO

Does readability affect SEO?

Readable content can improve the user experience, but no single readability score guarantees better rankings. Write for the intended audience rather than chasing a formula.

Treat readability formulas as diagnostic signals, not grades. Technical or academic writing can legitimately score as more difficult.

Word count and SEO

Is there an ideal word count for SEO?

No. There is no universal number of words that makes a page rank higher. The right length is the amount of content needed to satisfy the search intent clearly, accurately and completely.

  1. Search intent

Start with the job the searcher needs to complete. A definition, calculator or direct answer may need very little copy. A detailed comparison or tutorial may need much more.

  2. Topic coverage

Add length when it answers another relevant question, explains an important distinction, provides evidence or helps the reader make a decision.

  3. Competitors

Use competing pages to understand topic coverage, not to copy their word count. A longer competitor is not evidence that Google wants a specific number of words.

  4. Editing

Remove sections that repeat the same point or exist only to make the page longer. Useful depth is more important than raw length.

Shorter may be enough

Definitions · calculators · conversion tools · simple factual questions

More depth may be needed

Detailed comparisons · buying guides · tutorials · research-heavy topics · broad informational queries

Not by itself

Does word count affect SEO?

Word count is not a ranking target. Long pages rank when the topic needs depth; short pages rank when the searcher needs a quick answer or tool. What matters is doing the job better than the alternatives.

Not automatically

Is longer content better for SEO?

Padding a page to raise its word count makes it less useful. Extra length only helps when it answers relevant questions, adds evidence or helps the reader finish the task.

No universal minimum

Is there a minimum word count for SEO?

A page needs enough original, useful information for its purpose. Thin content is a problem when it fails the query, not simply because it is short.

Context, not a target

Should I match a competitor’s word count?

Study what competing pages cover, then build the clearest useful answer. A 3,000-word competitor does not mean your page needs 3,000 words.

No fixed percentage

Does keyword density matter for SEO?

Use the terms the topic needs naturally. Frequency shows which words dominate a draft, but repeating a phrase does not make a page more relevant.

Yes

Can content be too long?

Unnecessary explanation buries the answer. Use headings, tables, examples and tools to deliver detail efficiently.

Framework

How should I decide how long an article should be?

Answer these five questions in order. The length that covers them well is the right length.

  1. 01Search intentWhat is the reader trying to do?
  2. 02Topic breadthWhich subtopics need explaining?
  3. 03EvidenceDoes it need examples, data or sources?
  4. 04FormatCould a table, tool or example replace prose?
  5. 05CompletenessAre the follow-up questions answered?

Essays and assignments

Use word-count goals for essays and assignments.

Match the goal type to your brief and the counter tracks it live, telling you exactly how many words you need, have left or are over.

MinimumAt least 1,500 wordsFor “no fewer than” briefs. Shows how many words you still need.
MaximumNo more than 2,000For strict limits. Highlights any words past the cap.
Range1,500–1,800 wordsFor “±10%” briefs. Shows below, within or over.

What usually counts towards an essay word count?

Rules vary by institution. Titles, quotations, footnotes, references, appendices and tables may be treated differently, so your assignment guidance always takes precedence over a general counter.

Can I go over an essay word limit?

That depends on your institution or assessment rules. If a strict maximum is given, use the Maximum goal rather than assuming there is an informal allowance.

Multilingual text

Does word counting work the same way in every language?

No. Languages use different rules for separating words, and some writing systems do not use spaces the way English does. Here is how the same idea looks in five languages.

Key point

A multilingual word counter should use language-aware segmentation rather than assuming every space is a word boundary.

Translation and transcription

Word counts for translation and transcription.

A word count is a good starting point for estimating translation, localisation or editing scope. Suppliers measure work in different ways, though, so the same file can be quoted on very different totals.

How suppliers usually measure work

Counted in the finished translation, so the total is only known at the end.

Transcription

Audio minutes

Transcription is usually priced by recording length, not by the words produced.
Always check the provider’s counting method before using a total for pricing. Two tools can give slightly different counts for the same file.
